What benefits are offered to WCS employees?

Health insurance coverage is provided for full-time, permanent employees with dependent coverage available. Employees may choose from among several state plans. Permanent part-time employees are eligible for coverage on a self-paid basis. Questions concerning plans offered to employees and dependents should be directed to the proper Human Resource Services administrator. 2026 Open Enrollment will be held Oct. 13-31, 2025, through Aetna. Dental insurance is also made available to all full-time, permanent employees on an individual or a family basis. The system pays a small portion of the cost of this insurance. The employee has the option to accept coverage on either an individual or a family basis. If coverage is declined by the employee and eligible dependents during the first 30 days following the employment date, the employee and/or dependents will have a 12-month waiting period before full coverage begins.

WCS provides $5,000 in life insurance for all full-time, permanent employees. There is no cost to the employee for this coverage. Additional coverage for the employee and dependents is available at a small cost to the employee. Coverage will begin on the first day of the month following the employment date.

Colonial also provides additional life, vision, and health policies. Enrollment in Colonial programs is usually held in February and March of each year.

1095-c Forms for Taxes

A 1095 form is a tax document that provides you with proof of insurance required under the Affordable Care Act (ACA). It includes information needed to report on your tax return and is for your records only. This form does not need to be submitted with your tax return. It is supporting documentation to keep with personal tax records. You should expect to receive this form by mid-March 2026.

This year, there are some changes to how you receive your form. First, the IRS now gives employers the option to provide 1095 forms electronically instead of via mail. Second, the Plan’s TPA, Aetna, is now handling the disbursement of 1095-B forms for Retirees and Direct Bill members. What this means for you: 

  • If you are an Active employee, you will receive an electronic only of your 1095-C/1095-B form. 
  • If you are a Retiree or Direct Bill subscriber, Aetna is now managing production and mailing of 1095-B forms. You will receive a 1095-B form if:
  • You are a Retiree on the Standard PPO Plan (formerly 70/30) or Plus PPO Plan (formerly 80/20).
  • You are a Direct Bill member on the Standard PPO Plan (formerly 70/30) or Plus PPO Plan (formerly 80/20).
  • All 1095-B forms will be mailed this year.
  • You may also access your 1095-B form in your Aetna online portal if you have an account.

Wilson County Schools Employees may retrieve 1095 forms online through the SHP ebenefits platform and will be available by March 2, 2026. Here are the steps: 

1. Log into your SHP member benefits portal.
2. At the top of the page, hover over "Benefits" tab and click "1095 Tax Documents" on the righthand side of the banner under "Benefits Reports."
3. Here, you will see a list of all 1095-c documents for each year of your tenure with this group.
4. From this page, select "Download" of the document you want a copy of. 
5. A box with "Please agree to the terms & conditions" will appear, select "I agree."
6. The document should be found in your Download folder (or folder you requested all downloads be placed) and can then be printed or moved into a location of your choosing.

Business Discounts for Staff

Wilson County Schools appreciates the local businesses that grant special discounts to WCS staff to signal that working in education is important. Educator Express, or e2, debuted in 2002 with a directory of local merchants who were willing to salute the contributions of WCS employees with discounted goods and services.
